Sunrise Academy had around 340 students across six year groups. Every term, the bursar spent the first three weeks of school reconciling cash payments against a handwritten ledger — chasing parents, correcting errors, and producing summary reports by hand for the headteacher.
Admissions were worse. New student records were filled in on paper forms, transcribed into a spreadsheet that was already inconsistent, and stored in a filing cabinet that two members of staff had to share. When parents called to ask about their child's results or fee balance, staff had no way to check without physically searching through records.
We built a school management system covering admissions, fees, attendance, and results — deployed as a web application accessible from any browser, including on mobile.
The system was designed around the school's existing workflows rather than asking staff to change how they operated. Fees are now recorded at the point of payment and a receipt generated immediately. The bursar can pull an outstanding-balance report for any class in under thirty seconds. Parents receive an SMS confirmation when a payment is recorded and can check their ward's balance through a simple parent portal.

The end-of-term reconciliation process that previously took three weeks now takes a single afternoon. Report cards that used to be typed individually are generated in bulk and ready to print the same day results are entered.
The headteacher now has a live view of school-wide attendance and fee collection at any point in the term — something that simply did not exist before. Parents report fewer disputes because they receive a record of every payment immediately.
